Promotional Materials in Residential Communities

To foster student engagement and effectively promote campus activities, events, and organizations, Jackson State University Housing & Residence Life has established the following guidelines for the distribution of information within residential communities. These standards ensure that all promotional efforts are conducted in an organized, equitable, and responsible manner while maintaining the integrity of university facilities and preventing excessive clutter or littering.

Housing & Residence Life reserves the right to deny any request that includes material inconsistent with the educational mission of JSU and Housing & Residence Life. This includes, but is not limited to, advertisements or postings that reference alcohol, drugs (explicitly or implicitly), or content that is disruptive to the residential community.

General Advertising Expectations

  1. No Personal or Commercial Advertising
    • Materials may not promote private businesses, personal services, or commercial ventures. Solicitation of products, services, or donations is strictly prohibited.
  2. Financial Responsibility
    • Any individual, residential community, or student organization responsible for improper posting, damage, or removal of materials will be held financially accountable for repair costs, repainting, or additional maintenance.
  3. External Organization Sponsorship
    • Any materials from non-JSU organizations or external groups must be co-sponsored by a recognized JSU student organization and clearly display that sponsorship on the advertisement before approval is granted.
  4. Distribution Restrictions
    • Handbills, door hangers, or unapproved materials may not be distributed or left in residence halls, or common areas.
  5. Authorized Posting Locations Only
    • Materials cannot be posted on unauthorized surfaces, including:
      • Doors, light posts, trees, building windows, car windshields
      • Over previously posted materials or outside designated areas
  6. Required Sponsor Information
    • All materials must clearly display the name of the sponsoring organization and include contact information for event-related inquiries.
  7. Removal of Outdated Materials
    • All expired materials will be removed within 24 hours of the event’s end date.
    • Failure to adhere to posting policies may result in suspension of posting privileges for the student organization. Persistent violations may lead to referral to the Dean of Students Office for further action.

Types of Approved Advertising

Paper Flyers/Posters

  • Posting is only permitted in designated areas and will be managed by Housing & Residence Life staff.
  • Flyers must be approved in advance before being posted in residence halls

Flyer Submission & Approval Process

  • All flyers must be submitted to the Housing & Residence Life Central Office (Campbell College North) at least 10 days before the event to ensure timely processing.
  • Community Directors (CDs) or Community Assistants (CAs) will handle flyer distribution within their respective residence halls.
  • Flyers submitted closer to the event date may not be posted immediately, as the process takes up to three (3) days, excluding pickup time by residential staff.

How to Submit Advertising & Flyer Quantities

  • For questions regarding flyer approval or distribution, email housing@shushijia.net
  • Flyers and posters must be removed within 24 hours after the event ends to maintain a clean and organized residential environment.

Maximum Flyer Quantities:

  • Flyers must be divided and clearly labeled based on residential community assignments before submission.
